The design parameters ranged from basic management principles such as identifying and tagging, physical location, value, and utilization to the requirements as stipulated in the Public Finance Management Act of 1999 (PFMA). Since it was developed locally, it can be adapted to suit specific client requirements. 

I.A.M.S® is a unique system that provides users with the full spectrum of all the requirements set by Acts and accounting policies for proper asset management and at the same time getting their asset catalogs ready for e-procurement or e-business when required.

Barcode, track and allocate assets

Assets are identified and bar coded, together with their location and linked to occupant details and client specific infrastructures such as cost centre, financial and current location codes. This ensures implementation of asset verification procedures or stock taking in a very short time. This can be done per department, per location, per cost centre, per asset class or per asset number, depending on the requirement.

UNSPSC Cataloguing process

Another huge advantage is that during the cataloguing process the assets are also classified according to the Universal Standard Product and Services Classification (UNSPSC). This enables the user to integrate with electronic market places and communicate on a global basis, when the opportunity arises.

Offline tool availability

The system allows assets to be scanned with the use of the “Off-Line tool”. The “Off-Line Tool” enables inventory listing to be printed for each location. The inventory listing can then be signed by the responsible person as acknowledgement of the contents of that location.

Reporting

I.A.M.S® produces a range of standard reports, and user specific ones can also be generated by the report writer and data extract tool if required

IAMS to LOGIS A3 Integration

IAMS can integrate to the LOGIS A3 text files via a unique interface component. This creates a mirror image of the LOGIS A3 data and will enable the LOGIS Asset Register to be compared to the IAMS verified assets. All financial data ranging from the purchase order number, order date, vendor and cost price can be imported into IAMS. Depreciation will be calculated and verified to the LOGIS A3 data.

IAMS to BAS Integration

The BAS payment number is available in IAMS via the data import. This will enable the payments to be verified against the IAMS mirrored data. The unique function of reconciliation is thus available between the LOGIS A3 and the BAS data.
